The Client Data form (See Fig A) has all the functions that have to do with the names that CreditWatchExpress matches against. You could either keep the same people in your client list all the time, or you could import CSVs (Comma Separated Values) in and out as often as you desire.

Editing Customers

 

 

In order to get to the Client Data form, you must click the 'Client Data' button on the main toolbar on the left (See Fig AA)

Following is An Explanation of What Each of the buttons, and fields on the form do:

 

Part A:        Editing Companies & Owners

Customer Number:

    If you are importing a list of customers and you happen to track them using a customer number key, you may include that field when you import, and the values will match. Otherwise, the customer number is automatically generated by CreditWatchExpress. Either way, this represents a numerical key which is a unique value for each customer.

 

Company Name:

    Whatever company is selected in the list of companies field, will show up here. This represents the current company's name of the record you are editing.

 

Match: Level ( ? )

    The way the match level works differs whether it is the company name or the owner name that you are matching. Essentially there are five levels for both of them. They are:

So, if you have a match level 2 for a company named 'MY OWN COMPANY' the program would try to match it against CreditWatchExpress' records, would match against every company that has 'MY OWN' at the beginning of their name.

 

And if you had a match Level 3 for an owner's name such as 'SMITH JAMES H' the resulting match string would be 'SMITH JAMES'.

 

MatchString:

    Whatever match level you select, whether it's owner or company, the program will use the table (see table AB, above) to determine what this string will be. This string is literally what the program will use to match any records, so you need to be careful to set the right match levels and the right match strings for each company and owner in your list. This will ensure that you get all the records.

    Also keep in mind that there are certain names which are very common, for example, 'Smith'; any match with just 'Smith' for a match string will quite possibly be referring to the wrong Smith. Another example might be if a company were to start with the name of a city. Each city has hundreds of businesses that operate locally, all starting the same way. For these companies, it is important to make sure your match level is big enough that enough words get included, that the results returned are actually right.

 

            Buttons for Editing          

    DELETE -

    Click here to either remove a company or owner from your list. If you delete a company, it will also delete associated owners

 

    ADD NEW -

    Clicking this button will allow you to add a new company or owner to your list. If you click 'Add New' on the Edit Owner's frame, it will add the owner under whatever company you have selected. If no company is selected, it will add the owner to your company list instead.

 

    SAVE -

    Once you have entered a company name or owner and selected it's match level, clicking 'Save' will add them to your Client List

 

Part B:        List Functions Toolbar

Show Derogatory Matches:

    This option will sort your individual search by only showing derogatory matches.  If this is unselected it will display all                    documents.

 

Show List:

    Clicking this button will show you a nice report of all companies and owners in your client list (See Fig BB).

Clear List:

Clicking this button will bring up a dialog asking if you're sure you want to delete all companies and all owners. If you say yes, this button will clear your client list, and it will be empty. After that, you will have to import in a new list ( <<<see how to import a csv link>>> ) or manually add in companies and owners using the 'Edit Companies' and 'Edit Owners' frames.

 

Import:

Clicking this button will bring up a file dialog box asking where you would like to get your list from. What we're looking for is a list of Company Names, and Owner Names, also with Customer Numbers. The program takes a couple different formats, please refer to Import A Client List for exact instructions on how this is done.

 

Export:

Clicking 'Export' will bring up a file dialog box asking where you would like to save a backup of your Client List. Later, you can reload this same file into the program, using the import button.

 

Part C:        Individual Searches & Report Toolbar

Search Data:

This will give you the same kind of results as the search data will, except instead of showing you all your customers, you just get the results from one company and associated owners.

 

Summarize:

This will give you a summary of all the different documents that the individual search returns for a company and associated owners. This allows you to see how many of each different document is associated with a particular company as well as the kinds of things they're into doing.

 

Close:

Closes this form.
